As the first month of 2014 winds to a close, don?t let old enterprise mobile printing myths get in the way of efficiency and security in your work environment. Falling for any of the enterprise mobile printing myths listed here can be a costly mistake ? so don?t let out-dated ideas follow you into the New Year!
Myth # 1: BYOD as a Trend
BYOD ? that is, bring your own device ? isn?t a trend anymore. It?s the norm for most businesses of all sizes. Allowing employees to connect personally owned devices (smartphones and tablets) offers significant benefits in the areas of employee efficiency, productivity, and increased access to information.
But it also brings with it issues such as incompatible operating systems, older printers that don?t speak the same language as tablets, and cloud technology or consumer-focused mobile print applications that create security concerns.
BYOD extends beyond employees bringing their own tablets and smartphones into the enterprise. It also means guests ? board members, customers, sales reps, trainers and other important guests ? need to be able to connect their laptops, smart phones, and tablets to the company printer network as well.
Myth #2: Mobile Printing Isn?t a Necessity
Employees still want and need to print. As mobile devices become increasingly important in accessing and sharing company information, sending and answering emails, and reviewing documents, the need for mobile printing is increasing rapidly. After all, companies and individuals don?t intentionally purchase devices that can?t print. Most first-time tablet buyers are surprised to find that printing isn?t always easy.
The Techland section of Time Magazine has published a list of ?most wanted? iPad features after every iPad update, and ?simple printing? is the only feature that has remained on the list with each new release.
IDC estimates that by 2015 more than 50 percent of business print jobs will originate from tablets. This means that if your company doesn?t offer a secure, controlled method for employees to print from their tablets to the corporate network as well as outside printers (airport and hotel business centers, home printers, and public print networks when the employee is on the go), a significant portion of your company?s data can be exposed when employees use unsecured methods to print those documents.
Myth #3: Mobile Printing Requires New Printers
The good news about many enterprise printers is that they are workhorses built to last for years. So chances are that your company has printers of varying ages and brands.
You shouldn?t need to upgrade your printer fleet to add secure mobile printing. A secure mobile printing solution can, and should, work with all networked printers within a company, regardless of brand or age.
Myth #4: Mobile Printing Means IT Will Lose Control of Printer Access
Controlling access to print services is essential to control costs and insure that users can access the right printer without undue delays or bottlenecks. So don?t settle for a secure mobile printing solution that doesn?t allow IT to control printing parameters such as which printers employees can use, whether they can print in black/white or color, and allowing charge-back or cost allocation controls if desired.
Myth #5: Too Many Variables Makes Any Solution Complex & Costly
It?s true that mobile printing includes a huge range of variables as brands and operating systems proliferate. According to IBM?s data analytics group, during the fourth quarter of 2013, Apple sold 25 million iPads, Samsung shipped 12 million Galaxy tablets, and other Android tablet makers sold more than 20 million Android tablets running 3 different versions of the Android OS (Ice Cream Sandwich, Jelly Bean, and Kit Kat).
But a secure mobile printing solution should be able to handle the complexity of mix-and-match operating systems easily. It should also scale across hundreds of wireless subnets and work seamlessly with all mobile devices and printers, regardless of manufacturer.
Last, but hardly least, it should also work with common file formats, as well as enable IT managers to track and manage print jobs from mobile devices, integrating with job accounting software.
